Common questions

What counts as a "patient contact"?

Each outbound or inbound message to a unique patient in a calendar month. If a patient receives 5 messages in a month, that's still 1 contact. Internal staff messages don't count.

Is there a setup fee?

No. Sign up, connect your practice, and you're live within a week. No IT team required.

Do you offer annual billing?

Yes — toggle to Annual above and save 2 months (~17%). You're billed once per year. Annual pricing: Solo $1,490/yr · Practice $2,990/yr · Multi-location $5,990/yr.

Do patients need to download an app?

No. All communication happens over SMS — the same as texting a friend. No portal login, no app download.

Is this HIPAA-compliant?

Yes. CaseFlow is built for healthcare communication and includes a signed BAA for all plans.

What if I go over my contact limit?

We'll notify you before you hit the limit. You can upgrade plans mid-month with prorated billing.

How does the Surgery Deposit Engine work?

When a case is scheduled, CaseFlow sends the patient a secure Stripe payment link via SMS. They pay on mobile (Apple Pay and Google Pay supported). If surgery is completed, the deposit auto-refunds within 24 hours. Late cancels (<72h) convert to a 12-month practice credit. No-shows: configurable forfeit per policy. All included — no extra fees.
